Effective Time Management for Childcare Leaders

“Where did the day go?” 

If you have ever asked yourself that question at the end of a long day in your program, you are not alone! Between supporting your team, meeting licensing requirements, communicating with families and responding to unexpected situations, time can feel like your most limited resource. The challenge is not always that there is not enough time, it is how that time is used. 

Effective time management is about doing what matters most. As a leader, how you manage your time sets the tone for your entire program. It affects how smoothly your day runs and how supported staff, children and families feel. 

Prioritize What Matters Most

One of the first steps in managing your time effectively is identifying your priorities. Not every task carries the same level of importance. For example, stepping into a classroom to support a struggling teacher has a direct impact on children and team members, while answering emails can often wait. When everything feels urgent, it becomes easy to lose focus. Taking a few minutes at the start of your day to identify your top priorities can help guide your decisions. It’s not always easy, but it’s worth it. 

You may find it helpful to organize your day by: 

  • High-priority tasks: Classroom support, team needs, child safety 
  • Scheduled tasks: Meetings, parent conferences, paperwork deadlines  
  • Flexible tasks: Emails, planning, administrative work

This approach allows you to stay focused while also leaving room for the unexpected, which is an anticipated part of working with children.
